    Automate Vendor Reminders Management

    By Juliette Duhamel
Business Analyst FICO at Elia Transmission Belgium

Vendor Reminders are received from different channels (papers or emails) by different persons (dedicated
mailbox, AP Accountants, buyers, etc.), with different support (pdf attached, printscreen of accounting,
invoice reference simply written in the mail, etc.) and concerns one or multiple invoices. This is
    handled
    manually by Account Payable.

Vendor Reminders are received from different channels (papers or emails) by different persons

    of accounting,
invoice reference simply written in the mail, etc.) and concerns one or multiple invoices. This is
    handled manually by Account Payable.

We currently identify the following issues:

    1. Entry channel : we do not believe a chatbot or a frontpage at disposition of our customers
      will often
be used. Individuals won’t use it and big suppliers are sending list of invoices (Proximus,
      etc…)
won’t use this for one invoice at the time. Ideas?
    2. If we opt for a specific mailbox, how to identify the vendor and the invoices they are
      looking for ?
We would need a kind of OCR to read the emails we receive and identify the vendor and the
      invoice
references. What to do with accounting screenshot which are not readable – automatic answer?
      What to do
with emails which are not link to reminders – automatic answer ?
    3. Once invoices are identified, we could think about a bot /IA in order to :
      • Find the invoices in SAP (ex: FBL1N) – Look for the status paid, block, release for
        payment, automated
the answer of the bot depending on the invoice status (ex: paid on date xxx, release
        for payment = will
be paid on, block = please contact buyer)
      • If not in SAP, find the invoice in VIM – Look for the exception status and automate
        answer depending
on this status + user to contact (buyer or Account Payable or …)?
      • If not found, automatic answer “please send a copy of your invoice to the invoice
        mailbox”
    4. If invoice is more than x days overdue, we could imagine to forward the reminder to AP for
      urgent
      intervention ?
    5. Attach original reminder (pdf or email) to the invoice(s) and attach the answer of the bot

Connected Chairs – An IoT solution to crowded offices

      By Nathan Van Lombeek
Senior SAP Development Consultant at delaware

Use the SAP Cloud Platform IoT services to generate and display seat availability data from an office
      space.
Sensors can be connected to the SCP IoT service, and should be able to be onboarded into the system
      easily.

This data should be captured within the SCP IoT service in order to feed SAC reports on usage
      statistics, etc…
SAC should therefore be connected to the IoT service time series data, where analyses can feed further
      insights.

Role Migration assistant – an iRPA solution for S/4 HANA migrations

        By Nathan Van Lombeek
Senior SAP Development Consultant at delaware

Design a solution which reduces the manual effort to create custom S/4 HANA roles by leveraging the iRPA
service on the SAP Cloud Platform.

An iRPA solution should be able to perform a mass create of S/4 HANA roles with Excel as an input file.
A further step should be designed to allow the user to enter existing ECC roles and transactions, and
have the iRPA solution propose Fiori S/4 HANA alternatives, which then can then be auto-created in the
        system.

There are 2 main functionalities we would like to provide within our EWM chatbot, by using API from
          S/4 HANA Cloud.

          Warehouse Physical Inventory (A2X)):

          • Search for PI items
          • Count PI items

The Conversational AI should be used as a conversation handler between the S/4 HANA cloud system and
a custom, Android Native conversation Client.

            Embedded ML driven BOM/Routing optimization

            By Maxim Deweirdt
            technical consultant at delaware

Outdated master data, insufficient information and lack of proper ownership can lead over time to
significant differences in planned and actual production quantities.
In turn, these delta’s could cause unrealistic production schedules, inaccurate stock quantities, faulty
material planning and many more issues.
One of the various ways to minimize this difference in production quantity is by suggesting machine
learning enabled changes to the existing out-of-date Bill of Materials and Production Routings,
respectively the recipe and method to produce the end product.

As the production related master data becomes more and more up-to-date, the operational maintenance
costs and quantity corrections will decrease, thus optimizing the production planning process.

Mini dealer portal on SAP Cloud Platform for lead feedback, updating C4C

              By Agnes Debry
C4C Business Manager at Atlas Copco

Current Situation in Atlas Copco : We send emails to our dealers with the Leads we collected from
Marketing campaign that happened to be in the territory of the dealer. We do not have ways of collecting
the results of the lead qualification and conversion rate

Challenge Idea description : Realise a mini portal where a dealer who has received an email can provide
simple feedback on the lead (either closed + reason why – or Converted + value generated) and where this
feedback is automatically updating the lead in C4C as closed or converted. No need for access security
security, if the dealer has the email link, he/she can update the feedback.

                Challenge Idea Description :
We are interested in a SAP DI (Data Intelligence) extension. SAP has a basis setup available in SAP
Information Steward (which will be merged into DI I understood). So we would like to see as
challenge the development of a full end-to-end data lineage solution. This basically means that an
end user should be able to visualize where his data in the reports is coming from.

Capturing the experiences & interactions during & after events from prospects & customers.
Puratos is hosting several events per week and faces the challenge to digitally capture the experience
                  and interactions with their customers.
During those events we want to enable the host to follow the attendants and no shows in real-time.
What content do they find interesting? What are the products they are most likely to buy?
Next to that they want to measure the return of an event per customer, both in customer experience
(satisfaction surveys, after-event experience) and ROI in sales.

                        Physical Inventory:

Physical Inventory is a business process in which physical stock is matched with book (system)
stock. It is legal requirement to carry out physical inventory at least once in a year.

Physical inventory can be carried out both for a companyu2019s own stock (Unrestricted, Quality,
Blocked Stock) and for special stocks (Customer Consignment stock, Vendor consignment stock from
vendor, Returnable packaging). This inventory is carried out saperately for both type of stocks.

                        Physical Inventory Processes:

Several inventory processes available for physical inventory which includes as follow:

                        1. Periodic Physical Inventory

                          • All stocks of the company are physically counted on the balance sheet key date
                          • Every material must be counted
                          • Entire warehouse must be blocked for material movements during count.
                        2. Continuous Physical Inventory

                          • Stocks are counted continuously during the entire fiscal year.
                          • It is important to ensure that every material is physically counted at least once
                            during the year.
                        3. Cycle Counting

                          • In this method of physical inventory, inventory is counted at regular intervals
                            within a fiscal year.
                          • These intervals (or cycles) depend on the cycle counting indicator set for the
material in Material Master record as CC indicator in plant view data.
                          • With this Cycle Counting Method of Physical Inventory allows fast-moving items to be
counted more frequently than slow-moving items.
                        4. Inventory Sampling

                          • Randomly selected stocks of the company are physically counted on the balance sheet
                            key date.
                          • If found not much variance between the counted stock and the book book stock, it is
presumed that the book inventory balances for the other stocks are correct.

                        Physical Inventory Process Cycle Flow

                          Creation of physical inventory document

                          • Physical inventory document(s) is created individually or using the batch program, click
                            for more information
                          • The transaction codes for creation physical inventory are as follow

                            Individual Inventory documentation creation

MI01 – Individual physical inventory creation

MIS1 – Inventory Sampling document creation

MICN – Cycle count inventory document creation

                            Collective Inventory document creation

MI31 – Own stock without special stock

                            MIK1 – Vendor consignment

                            MIQ1 – Project stock

                            MIM1 – Returnable Transpiration material

                            MIW1 – Customer Consignment stock

MIV1 – Returnable material with customer

MIO1 – Material provided to Vendor (Subcontracting material)

                          Print physical inventory document

                          • Physical Inventory document can be printed based on the physical inventory document
                            status and or item status
                          • Transaction code MI21 is used to print the inventory document where print default value
                            can be populated
                        1. Count the physical stock

                          • Based on the inventory document printout, the warehouse person will check the stock
of material physically and note that on print out. This is completely physical
                            process.
                        2. Enter count in system

                          • On completion of physical count, the count result is needs to be entered in the
system. This can be with reference (using Tcode MI04) or without reference (using
Tcode MI04) to the physical inventory document.
                          • If count quantity for that material is ZERO then select ZC (zero count) column
instead of putting 0 in qty field. If 0 is used for zero count then systm will
                            consider that as “not counted”

An IoT monitoring device mounted on a field equipment reports a measurement outside of the tolerances
                          specified for the equipment.
The failure is interpreted as “critical” and is shown on the incident map monitor, providing a
geographical view of the incident location,
and the status of the equipment is set to “Failure” with an icon / color code red. Using the map
interface, the incident coordinator is able to select to location and consult the details of the
                          equipment and the incident.
Based on this information, the incident coordinator can pull up the location of nearby technicians with
the right competences to deal with the incident and have an overview of their current activity.

Using this information, the incident coordinator can assign a technician to the incident and send a
high priority push maintenance order to the technician’s mobile device and also provide him with the
optimal route to the incident location.
The field technician acknowledges receipt of the rush order. His travel itinerary and location are
visible on the geographic overview. Once on site, the technician concludes that a faulty circuit
breaker is the root cause of the problem.
He can scan the equipment to pull up the equipment Bill Of Material, and determine the right type of
circuit breaker, replaces and declares the consumption of a replacement circuit breaker from his van
stock and finally confirms the intervention.
As a result, the equipment status is reset to “Operational” and on the map interface, the equipment
also displays the status “Operational” again with the color code green.

                            By Agnes Debry
C4C Business Manager at Atlas Copco

Vendor Reminders are received from different channels (papers or emails) by different persons (dedicated
mailbox, AP Accountants, buyers, etc.), with different support (pdf attached, printscreen of accounting,
invoice reference simply written in the mail, etc.) and concerns one or multiple invoices. This is
                            handled
                            manually by Account Payable.

Current situation in Atlas Copco :
We are using the SAP C4C reporting and dashboard extensively. But there are no easy possibilities to
set trend lines and targets on the Graphs in order to measure actuals versus targets and the trend.

                            Challenge Idea Description :
The idea is to use the more advanced features of SAP Embedded SAC on top of C4C to realize leading
dashboards including targets and trend lines.
For example a graph with the number of actual appointments per month with a monthly target and a (3
months rolling) trend line. Our business though is driven by yearly targets.

                            Benefits for Atlas Copco :
